Pre-Trek Risk & Safety Guide

This guide aims to educate you about potential risks during trekking in Nepal and provides instructions to minimize hazards. It supplements our Terms & Conditions and the Release & Waiver Form you will sign.

1. HIGH-ALTITUDE TREKKING RISKS

1.1 Altitude Illness

High altitude can cause physiological stress and may lead to the following conditions:

    • Acute Mountain Sickness (AMS): Headache, nausea, dizziness, fatigue, insomnia. Can appear above 2,500 m.

    • High-Altitude Cerebral Edema (HACE): Severe AMS leading to confusion, loss of coordination, and impaired consciousness. It is Life-threatening and requires a Medical emergency.

    • High-Altitude Pulmonary Edema (HAPE): Fluid accumulation in the lungs, causing shortness of breath, cough, and extreme fatigue. Life-threatening.

Prevention Measures:

    • Gradual ascent and enough acclimatization rest days

    • Hydration and avoidance of alcohol/sleeping medications

    • Immediate reporting of symptoms to guides

    • Inform HC Treks of any history of altitude illness before the trek

1.2 Physical Strain

Trekking involves moderate to strenuous activity for 4–8 hours per day on uneven, sometimes steep terrain. So, trekkers should ensure adequate fitness and consult a physician if any pre-existing conditions may affect trekking performance.

2. WEATHER & ENVIRONMENTAL HAZARDS

Nepal’s mountain regions experience rapidly changing and extreme climatic conditions.

    • Temperature Variations: Hot at lower altitudes; freezing temperatures at higher elevations.

    • Rain / Snow / Ice: Slippery trails and exposure risks such as hypothermia or frostbite

    • Natural Disasters: Landslides, rockfall, avalanches, rivers, and flash floods

Mitigation: Use appropriate layered clothing and proper trekking boots; follow all guidance from HC Treks guides.

3. TRIP EQUIPMENT & GEAR

    • Essential Items: Backpack, water bottle, trekking poles, sun protection, headlamp

    • Clothing Requirements: Thermal layers, waterproof/windproof outer layers, durable hiking boots

    • Special gear: Rated Sleeping bag for high-altitude treks.

Note: Loss, theft, or failure of personal gear is the client’s responsibility unless caused by proven negligence of HC Treks.

4. EMERGENCY EVACUATION PROCEDURES

In cases of severe altitude illness, injury, missed flights, or medical emergencies, helicopter evacuation may be required.

    • Evacuation Cost: Not included in standard trip fees (~USD 550 per person, one-way for chartered rescue).

    • Coordination: HC Treks manages all rescue logistics and provides insurance documentation

    • Requirements: Clients must have travel insurance covering helicopter evacuation and medical emergencies.

5. DOMESTIC FLIGHT & TRANSPORTATION RISKS

    • High-altitude flights (e.g., Lukla) are weather-dependent and often delayed/canceled.

    • Ground transport in the mountains also carries an increased risk due to terrain and weather conditions.

    • Clients are advised to schedule buffer days before international departures.

6. HEALTH & MEDICAL PREPARATION

Consult a physician before trekking, especially if:

    • Existing medical conditions (cardiac, respiratory, diabetes)

    • History of altitude illness

    • Bring personal medications and prescriptions.

    • First aid kits provided by HC Treks; ongoing medication responsibility remains with the client.

7. TRAVEL INSURANCE REQUIREMENTS

    • Mandatory. Must cover:
        • Emergency medical expenses (USD 100,000 minimum recommended)

        • Emergency evacuation (helicopter)

        • Repatriation/home transport

        • Trip cancellation/curtailment

        • Lost/stolen personal belongings

        • Trekking/hiking activities, especially at high altitude

    • Provide policy copy to HC Treks prior to trip start.

    • Trekking permit authorities in Nepal may require insurance before issuing permits.

8. GUIDE, PORTER & STAFFING INFORMATION

    • Staff-to-Client Ratios:
        • Porters: 2:1 ratio (2 clients per porter).

        • Additional Sherpa Guide: For groups of 6+ clients.

        • Porter Leader / Trekking Sardar: For groups exceeding 15 clients.

    • Roles & Responsibilities:
        • Guides: Navigation, altitude monitoring, first aid, client safety management.

        • Porters: Carry luggage, assist with campsite setup, and provide logistical support.

        • Trekking Sardar: Oversees porter team, coordinates with lead guide.

    • Liability:
        • Guides and porters are licensed by the Nepal Tourism Department.

        • HC Treks is not liable for negligence except in proven gross negligence cases.

        • Clients are responsible for personal items, though staff will exercise reasonable care.

9. LOCAL REGULATIONS & ENVIRONMENTAL RESPONSIBILITY

Clients must adhere to:

    • Nepal Tourism Department rules: trekking permits (TIMS, restricted areas), mountaineering regulations.

    • Local laws, customs, and community regulations

    • Environmental practices such as minimizing waste, protecting flora and fauna, and respecting cultural sites.

10. CLIENT RESPONSIBILITIES

    • Follow the guide instructions at all times.

    • Report health concerns immediately.

    • Maintain personal gear and valuables.

    • Respect fellow trekkers and local communities.

11. RISK, LIABILITY & RELEASE

    • Trekking involves inherent risks: altitude sickness, weather changes, natural disasters, accidents, injury, or death.

    • HC Treks, its guides, employees, and affiliates are not liable for injury, death, loss of property, or delays, except in proven gross negligence cases.

    • Service providers (hotels, transport, porters) are independent; HC Treks acts as an agent and is not responsible for their acts or omissions beyond contracts.

12. PANDEMIC AND PUBLIC HEALTH RISKS

    • Trip may be affected by travel restrictions, local health policies, or government directives.

    • Clients must follow health guidelines (masking, vaccination, quarantine).

    • HC Treks may issue trip credits or reschedule trips for pandemic-related changes.

13. ACKNOWLEDGEMENT OF RECEIPT & WAIVER

I, the undersigned, have received, read, and understood this Pre-Trek Risk & Safety Guide. I acknowledge the inherent risks of trekking in Nepal, including high-altitude travel, extreme weather, accidents, and emergency evacuation procedures. I agree to follow HC Treks’ instructions, maintain adequate travel insurance, and accept responsibility for my personal health, safety, and belongings.
